Process Mapping

 

A process map is a visual diagram of a flow of work, showing a series of steps that produce an end result. Process mapping can be a simple but effective improvement tool: visualising a complex problem can help to understand issues and identify simple solutions within the system.

 

Why use process mapping?

  • To identify issues or challenges in the current process 
  • To identify opportunities for improvement
  • To visualise a patient journey and understand possible delays or frustrations from the patient perspective
  • To generate a shared understanding of the current state and the role of different stakeholders within a process
  • To engage stakeholders in the improvement process
  • To streamline or redesign a process by mapping out a 'future state' 

 

How to get started with process mapping

  1. Identify the process you need to map: Agree your process, with a  specified start and end point.
  2. Bring together the right team: Plan your session, allowing enough time and space. Bring together everyone involved in doing, managing and inputting into the process, being clear about the aim and purpose of the session with all attendees.
  3. Brainstorm the process steps: Include all information including inputs, outputs roles, time duration, etc.
  4. Draw the current state process map:  Map out the steps in sequential order, adding arrows and decision points. You may need several parallel lanes for concurrent processes.
  5. Identify areas for improvement: Seek input from everyone to analyse and annotate the map with areas for improvement - bottlenecks, duplication, risks and issues.
  6. Map a future state: After identifying improvements, you may decide you need to redesign your process. It can be helpful to map an ideal future state to visualise what changes are needed to move from the current state to the future.
  7. Implement and monitor improvements: Use the improvement methodology to test and implement your changes.
